Before secure test materials can be scanned to a box at the conclusion of a test administration, boxes according to type must be created
To create new boxes, select Materials > Campus Boxes.
Choose the appropriate test administration (i.e. April FSA Writing) from the Select Admin drop-down menu. Initially the screen will be blank indicating no boxes have been created.
Select the New Box () icon to create boxes for secure material to be scanned in to.
A series of drop-down boxes will appear.
Using the Select BoxType drop-down, choose the type of box you want to create then select Submit. You are not required to enter or scan anything in the Return Label, Shipping Label or Note field at this time.
Once the box type is submitted you will be redirected to a page displaying how many boxes of each type have been created. Each submission of a box type creates an additional box of that type. Once the estimated number of boxes for each type has been created you will be ready to scan secure test material.
If you create too many of one type of box there is a trash can icon next to boxes that do not contain secure material – select the trash can icon to remove the box
Once box types have been created, secure test materials can be scanned to boxes.
To begin scanning secure materials to boxes, select Materials > Scan to Boxes.
You will be prompted to choose the appropriate test administration (i.e. April FSA Writing) from the Select Admin drop-down menu. Next you will choose the box that you want to begin scanning secure test material into using the Select Box drop-down (i.e. To be scored 1, To be scored 2, Not to be scored 1, etc.).
Once a selection has been made in the drop-down menus, the window will refresh, and you may begin scanning in secure materials.
Secure test material that has been used must be scanned individually at the conclusion of the test administration. PENDING DISTRICT APPROVAL: It is not a requirement to count or place secure materials into sequential order; however, we recommend separating secure material by grade and subject in case there is a need to open a box.
Ensure Booklet is selected in the Scan Type drop-down. Place your cursor into the Booklet field and scan the barcode on the test booklet – the count of booklets in the box above will update after each booklet.
If secure test material has not been used and remains in the shrink wrap, it can be scanned as a packet and does not have to be opened. Ensure Packet is selected in the Scan Type drop-down. Place your cursor into the Booklet field and scan the bundle ID from the cover page – the count of booklets in the box above will update after scanning.
Once a box has been filled (i.e. To be scored 1) choose the next box from the Select Box drop-down (i.e. To be scored 2) and repeat the steps above.
During the Scan to Boxes process, if booklet was scanned to wrong box all that needs to be done to correct is change the box number selected in the Select Box drop-down and rescan the booklet. By rescanning the booklet, the box association is modified automatically without the need to delete the booklet from the box it was previously scanned to.
Once all secure material has been scanned in or all material of one type (i.e. Grade 3 Reading) has been scanned, select Materials > Inventory.
Choose the appropriate administration from the Select Admin drop-down (i.e. April FSA Writing).
If all secure material, or all of one type, has been scanned in the inventory line will be highlighted green indicating all material within that type or range is accounted for. If the inventory line is white you can check for missing (i.e. unboxed booklets).
Expand the inventory line by selecting the Expand/Collapse icon () next to the line. Each sequential range of secure material within that type will be displayed. To identify missing (i.e. unboxed booklets) select the question mark icon to the right of the material range ( ).
A list of the booklet numbers will be displayed. If the booklets were assigned to students, the student name and room number will also be displayed.
Once all lines on the Inventory and Checklist tab are green, all secure material has been accounted for.
Once all secure material has been inventoried and boxes are filled, schools will be able to affix return labels and/or shipping labels
Select Materials > Campus Boxes.
Each box type and box number will be listed in a table. If scanning the colored return label, place your cursor in the ReturnLabel field and scan the barcode of the label. Once the return label is scanned be sure to affix the label to the appropriate box.
If scanning a shipping label, place your cursor in the ShippingLabel field and scan the barcode of the shipping label. Once the shipping label is scanned be sure to affix the label to the appropriate box.
The Note field can be used to scan in the tracking information from either the shipping or freight label.
If you wish to view a list of all inventory scanned to a box, select Materials > Boxed Booklets.
Choose the appropriate test administration (i.e. April FSA Writing) from the Select Admin drop-down menu. Choose the box that you want to view a list of all material inventoried for (i.e. To be scored 1, To be scored 2, Not to be scored 1, etc.).
